A useful maintenance cost log is not a prediction of what your home should cost. It is a record of the amounts you know, connected to the work they paid for. Mixing estimates, quotes and completed invoices makes a total look more precise than it is.
Planned cost is not actual cost
Use a task's planned-cost field for your current expectation. It might be zero for a visual inspection or a rough amount for consumables. That number stays with the task and does not enter the recorded-spending total.
When logging a completion, enter the actual cost if known. Leave it blank if you have not received the bill or cannot reliably identify the amount. Zero means no money was spent. Unknown means the record is incomplete. Upkeep Atlas distinguishes those states instead of silently converting missing values into zero-cost work.
Keep one currency per record
Choose the record currency before adding tasks. The supported display currencies are USD, GBP, CAD, AUD, EUR and NZD. The app does not fetch exchange rates or perform conversions. A single record uses one currency so totals are not created by adding unrelated units.
If you paid in a different currency, decide on a consistent conversion method outside the app and document it in your own records. Do not treat the displayed total as a tax, insurance or accounting report. Ask an appropriate professional when you need those decisions.
Put the useful context in a note
Record whether a payment included labor, parts or several jobs. If one invoice covers multiple tasks, avoid logging the entire invoice against each task. Either split it using a defensible method or enter it once and cross-reference the other work.
The app does not attach or verify receipts. Store the original paperwork in your own filing system and put a reference in the completion note. Avoid entering card numbers, passwords or other sensitive information.
Review the record, not just the total
The summary shows recorded actual costs across all completion history, including archived tasks. It excludes unknown amounts. It is not a complete household budget, a forecast of replacement costs or evidence that a maintenance action saved money.
Export History CSV for a spreadsheet review. Export JSON when you need a complete application backup with tasks, recurrence settings and history together. Before deleting or replacing anything, keep a copy you can restore. Useful financial records depend on accurate entries and continuity, not on an impressive-looking dashboard.
